Inventory · Features

Every Inventory feature, from the indent to the temple jewellery register

Eight modules on one append-only ledger: procurement, vendors, stores, the annadanam (free community meal) kitchen, assets and jewellery, invoices, governance and reports. Everything on this page is live; planned work is listed separately at the end.

In short

Inventory gives a temple or religious trust a full procure-to-pay chain — indent, RFQ or reverse auction, purchase order, goods receipt, three-way-matched invoice and payment request — feeding a FEFO stock ledger that cannot be edited after the fact. On top sit annadanam consumption slips, prasadam production registers, a jewellery register with milligram weights and two-person custody, and M-of-N committee approvals in which a maker never approves.

Modules

Inventory, module by module

Each module has a register, a dashboard and its own reports. Rights are granted per module and per action.

Procurement Live

The chain from need to purchase order, with each document linked to and checked against its parent.

Indents

Departments raise what they need; issues from stores are made against an approved indent.

RFQs

Request quotations from vendors against an approved need.

Reverse auctions

Run only after approval. Every bid is stored as permanent evidence and the room closes on its own timer.

Award away from L1

Choosing anyone but the lowest bidder needs the right, a written reason and a person other than the auction’s creator.

Purchase orders

A PO can be submitted only with an approved vendor. Its value is the sum of its lines and freezes on submission.

Direct purchases

For the daily local buy: vendor, vendor bill number, bill date, store, payment mode, lines and up to 10 bill photos — stock posts at once. Cancellable within 7 days, with a reason.

Vendors Live

A vendor master the committee can stand behind.

Vendor KYC

GSTIN, PAN and FSSAI licence details captured during onboarding.

Approval before use

New vendors arrive pending; approving or reinstating one needs its own right.

Blacklisting

A blacklisted vendor cannot be used, and reinstating one needs a recorded reason.

No duplicates

One vendor per GSTIN, vendor codes unique, and a vendor’s bill number accepted once per financial year across purchases and invoices.

Stores & stock Live

Units, stores and items, with every movement written to an append-only ledger.

Items and units of measure

Items carry a base unit and conversions — 200 g of a kg item posts as 0.2 kg. Category, GST rate, reorder level, shelf life and standard cost per item.

FEFO lot issue

Issues draw from the earliest-expiring usable lot first, splitting across lots where needed.

Expiry blocking

Expired or undated perishable lots cannot be issued. An “Expiry watch” report lists what is about to lapse.

GRN auto-posting

An approved goods receipt posts every line to stock automatically, all or nothing. Items that need a certificate of analysis (COA) cannot be received without it.

Transfers and issues

Move stock between stores, or issue it against an approved indent. Stock held for bookings cannot be taken by a manual issue.

Independent corrections

Write-offs and adjustments are separate documents that a second person must approve, checked against the lot’s stock on hand.

Services are never stock

Service and works lines stay on the bill and can never be received into a store.

Kitchen, annadanam & prasadam Live

Built for kitchens that take 5 to 20 items for every meal, and for prasadam (sacred food offering) booked at the counter.

Daily consumption slips

Issue up to 100 items from one store for one purpose — Breakfast, Lunch, Dinner or your own — with people served and the menu. Numbered ISS/FY/unit/n; posts every line or none.

Backdating within a week

A slip is dated the day the food was cooked: today or up to 7 days back.

Monthly sheet

Every item by day, 1 to 31, for chosen purposes — all together, per purpose, or purposes compared. Exports to Excel.

Dittam & production registers

Basic dittam (standard recipe) and prasadam production registers.

Netra booking stock

A seva (paid temple service) or prasadam booking in Netra holds its items, issues them, and releases or returns them if the booking changes.

Donations in kind

Goods donated through Netra enter stock at the donor’s stated value; donated assets go to the asset register.

Assets & jewellery register Live

Dedicated registers for temple assets and jewellery, designed around the strong room.

Weight and purity

Gross and net weight in whole milligrams, metal, optional purity or fineness and HUID, stones, and the deity it adorns.

Photos and labels

Private photos, internal QR and Code 128 labels, and scanning by phone camera, image or USB scanner.

Exact location

Each piece is tied to a storage place, and moves between places are recorded.

Sets and small lots

Record an ornament set or a small lot of identical items and verify it as one.

Two-person custody

Precious items are issued and returned under two named people.

Verification and discrepancies

Physical checks record what was found; a discrepancy is investigated and corrected with an audited record.

Care and appraisal history

Care and appraisal records kept against each piece, with donor and appraisal references.

Invoices, payments & budgets Live

The money end of procurement — matching, requesting and tracking spend.

Three-way match

Each invoice is matched against its purchase order and posted GRNs, within a tolerance the temple sets (2% by default). A failed match needs a right and a reason to release.

Payment requests

Raise a payment request against a matched invoice for approval.

Budgets

Budget heads by unit and period showing budgeted, committed (approved orders), requested (open indents), actual and available.

Governance & audit Live

The controls Inventory exists to provide. Each is enforced on the server, not just hidden in the screen.

M-of-N approvals by value slab

Per document type, slabs decide how many independent approvers are needed. If the temple lacks enough eligible approvers, submission is refused instead of leaving a document stranded.

Maker never approves

Whoever raised, edited or submitted a document is excluded from approving it. No slab can turn this off.

Contents freeze on submission

Vendor, lines and value lock once submitted, so the amount approved is the amount ordered.

Unit scope

Limit people to units such as Main Temple or Annadanam & Goshala (cow shelter); it applies to every list, record and stock movement.

Custom roles and rights

Rights are granted one by one, and a manager can only grant rights and units they hold themselves.

Append-only audit trail

Every material change is recorded in the same transaction. Records are archived with a reason, never deleted.

Private documents

Bills, certificates and photos are private files, opened only by signed-in people with the right.

In-app notifications

Approvers are notified when a document is waiting for them; makers when it is decided.

Reports, import & access Live

Get data in and out, in the languages your staff read.

47 reports and module dashboards

Registers, document lines and per-module reports, each with a dashboard. Reports respect the same unit scope as the registers.

Excel, CSV and PDF

Download Excel or CSV, or print and save as PDF with the temple, filters, time and user on the sheet.

Spreadsheet import

Import items, vendors, units, stores and opening stock. Imports create only — they never approve, post or overwrite.

Multi-temple login

One person can belong to several temples and switch between them; suspension applies to one temple only.

Six languages

English, Hindi, Marathi, Tamil, Telugu and Gujarati.

Works at phone width

Responsive web app — no install needed for the storekeeper’s phone.

FAQ

Frequently asked questions

Something else? Write to [email protected] or book a demo.

What is a temple jewellery register?

A temple jewellery register records every ornament the temple holds — what it is, its weight, metal and purity, where it is kept, who holds it and when it was last verified. In Inventory each piece also has photos, a QR label and two-person custody for movements.

How does FEFO work in Inventory?

FEFO means first-expiry, first-out. When stock is issued, Inventory takes it from the usable lot that expires soonest and splits across lots if one is not enough. Expired or undated perishable lots are blocked from issue.

What is three-way matching?

Three-way matching checks a vendor’s invoice against the purchase order and the goods actually received. Inventory compares quantities and rates within a tolerance (2% by default) and blocks a mismatched invoice until someone with the right releases it with a reason.

Can a storekeeper correct stock on their own?

No. A correction or write-off is a separate document that someone other than its maker must approve, and it is checked against the lot’s stock on hand before posting.

Can one person work across several temples?

Yes. One sign-in can belong to several temple workspaces, with a temple switcher. Rights and suspension apply per temple, so access in one does not carry into another.

Is there a mobile app?

Inventory is a responsive web app that works at phone width in any modern browser, so storekeepers and kitchen staff can use a phone without installing anything.
